Coaches, Forms and Player Information

Welcome coaches, players and field hockey fans

Congratulations on qualifying for this year’s AAA Girls Provincial Field Hockey Championships.  Kelowna Secondary School welcomes you all.  The preliminary tournament draw and necessary forms are now posted on the website and updates will occur after the zone champions are confirmed.  The official draw is set by the Berthing Committee and will be posted as soon as it is confirmed.  Please visit our tournament website for news and updates.

We strongly encourage everyone to make accommodation plans immediately.  The host hotel is the Ramada Hotel and Conference Center 2170  Harvey Avenue, Kelowna, B. C. V1Y 6G8  1-800-665-2518
The Tournament Banquet this year will be at the Kelowna Secondary School 1079 Raymer Avenue,
Kelowna, B. C. V1Y 4Z7 on Thursday, November 10.  This fun event will start sharply at 7:15 p.m.  Each team is responsible for bringing two door prizes from their team ($15 value each) that is not school insignia merchandise. The banquet is mandatory for all teams.

The Awards Ceremony will take place on Friday, November 11 after the final game. More information will be distributed at the Coaches’ Meeting.
First-Aid and Physiotherapy services will be available but teams need to bring their own supplies.

Tournament registration this year will be electronic.  We are asking all coaches to download the required Registration Forms from the tournament web site and then return the completed forms as email attachments.   Please forward roster information and a team photo in advance of the November 4th deadline.  All tournament programs and documents will be sent to print in early November.  All fees with be submitted at the pre-requisite November 8th Coaches’ Meeting at the Ramada Hotel and Conference Center at 7:00 p.m.  All teams MUST be represented.

  1. Tournament Regulation

Please read the BCSSGFHA Rules and Regulations and the Technical Regulations

  1. Team Lists

Only players registered with BCSS are eligible to participate in the Tournament.

  1. Pre Game Protocol

Please do not enter the technical area before the previous game ends. 
With 1 hour  15 minute game time slots on field warm up is very limited.

  1. Stick Check

Sticks will be checked prior to the first game.  Spare sticks should also be checked.

  1. Uniforms

Managers are responsible for ensuring players are neatly dressed at all times during the match.  Unless shirts are waist length they are to be tucked in.  Socks are to be pulled up to cover shin guards.

Long sleeve shirts and shorts worn under the uniform should be the same or similar colour of the uniform shirt (i.e. light colour under light colour, dark colour under dark colour)

Goalkeepers’ jersey must be a different colour than both teams

Mouth guards must be worn

Watches, bracelets, large earrings, hats, hard plastic head bands are not to be worn

Colours will be assigned where possible

            During the Match

  1. Admission to the Field of Play

In the case of injury the umpire may authorize the on duty therapist and team manager to enter the pitch to assist the injured player.  Any player who is treated in this way must be substituted and must return to the team bench for a minimum of 2 minutes before being allowed back on the field

Any player who is bleeding must leave the pitch immediately and may not return until the bleeding has been stopped.  Any clothing with blood stains must be replaced

No refreshment may be taken on to the pitch.  Players must come off the field to have a drink.  Goal Keepers may have a water bottle behind the net.

            Substitution
                        Substitution will take place a centre field.  The player being substited for
should be off the Pitch before the player going on enters the pitch.

                        No substitution is permitted for a suspended player

                        No substitution on a penalty corner

Substitution of fully kitted goal keeper is under the control of the umpire.  Time will not be stopped

            Timing
                        Each half will be started on a horn from the Technical Table

If there is a penalty corners at half time or the end of the match the horn will blow (this may be while the ball is being injected – please ensure that your players are aware of this.  Umpires will blow to end the half when the corner is over.

  1. Benches

Managers and Captains are responsible for good conduct of all people on the bench.  Vocal communication from those on the bench must not be directed at the umpires or the players of the opposing team.  Captains may be carded for objectionable conduct from the bench

  1. Athletic Therapist

There will be an athletic therapist on duty throughout the tournament, beginning half an hour prior to the first games of the day.

 Field Locations

Capital News Center Turf Field (Mission Sports Center)

If staying at the Host Hotel, the Ramada Hotel and Conference Center, or at any of the other hotels, motels, etc. on Highway #97 travel south towards the lake and Penticton.  Cross through the lights at Spall Road, Burtch Road and then turn left on Gordon Drive, just after the Capri Hotel.  Travel along Gordon Drive and pass through the lights on Springfield, Guisachan, Raymer, KLO and Casorso Roads.  After Casorso Road you will travel over a small bridge and then must turn left on Lexington.  You will notice soccer fields on both sides of the road and then some softball fields on the left.  There is a small road on your right that you must take to get to the turf field that will be up ahead on your right.  Parking is FREE

University of British Columbia Okanagan Turf Field

If staying at the Host Hotel, the Ramada Hotel and Conference Center, or at any of the other hotels, motels, etc. on Highway #97 travel north towards Vernon and the Airport.  Cross through the lights at Leckie, Banks, Highway 33, Leathead, McCurdy, and Old Vernon Road on your way to the Airport. You will see the exit sign for UBCO on your right.  Travel over Highway #97 and arrive at a round-about.  As you enter the round-about continue past the first exit and then take the second off shoot from the round-about.  This is John Hindle Drive.  You will notice the turf field on your right.  If you can get a spot in Lot B, it is right beside the turf field.  Parking is $5.00/day.  Buses might have to drop off players and find another parking area.  Parking will be much easier on Friday because of Remembrance Day.

Medical Locations nearest to UBCO Turf Field

Emergency medical attention can be received at the following locations when playing at the UBCO Turf Fields during the 2011 AAA Girls Field Hockey Provincials.  The first three are walk in clinics, probably about 15 minutes from the university and the final location is Kelowna General Hospital, which is about 30 minutes from the field at the university.

Information for umpires
(coaches should also receive)

Game Length: 2 x 30 minutes [stop games for cards or injuries but time will continue to run], with 5 minutes half time.  Please call teams at 4 minutes and expect them to respond. [ 2nd half will start on a horn from the tech table].  We may find that we have to cal them at 3 ½ minutes, if they are slow.
With games, perhaps going on longer because of stoppages/overtime/strokes, the next game umpires or umpires resting, may have to toss and tell teams to be ready to start immediately.

Toss: call captains early so games can start on time.  Remind the captains about mouth guards and that they are responsible for their teams’ uniform and conduct.  Shirts neat (tucked in if necessary)socks pulled up over shin pads, under-shorts not visible and no headgear [bandannas must be rolled].  Discuss any remiss at half time with the captain.

Timing: Due to the constraints of the game time slots time will be running. Time will be kept at the tech table..  We will start and end the games using a horn. [remind your team if the horn goes and they are playing a penalty corner that they should continue playing until the umpire blows time]

Injury: anything you feel is serious, stop the game .  Be strong and consistent about coaches running on to the field.  Hold up one hand to indicate “no” and make them wait [the other umpire can assist with this.  This allows you to get the game going faster if the injury is not serious.  If a trainer, coach or manager goes onto the field, the player must come off.  [we will use the 2 minute rule here] The other umpire assists with the process to restart the game quickly, with safety in mind.

Trainer: will be at a central location and will be watching games and listening for a loud whistle and /or call.  He will need to attend to the most serious injury and cannot be at all fields at once, so please use other umpires, technical people or a spectator if your game has a serious injury and the trainer is at another field.  Ice will be located on the sideline of each field at the centre.  Ice is also available at the Pavilion.

Blood:  If a player is injured and there is blood they must leave the pitch immediately. If there is any blood on the pitch it must be cleaned before the game can proceed..

Bench Misconduct: generally try to ignore comments unless personal or abusive.  Please do not tolerate loud/rude comments about the umpiring.  Stop the game and signal or speak to the captain or coach.  One or both umpires can deal with this.  Card the captain if necessary and certainly report this to the Technical Coordinator and Head Umpire.

Game Misconduct: many secondary school players are club players so have knowledge of the rules and all understand progressive penalties, so try not to get lulled into thinking otherwise.  These tournaments are very competitive for players and coaches.  If an umpire does award a yellow card, this should be reported to the Head Umpire and Technical Director.  The incident should be recorded

Team Colours: these will be posted in the officials’ room, so you can select your colour to match your partner’s.  Check early that your two teams will not clash and the GK’s are wearing different coloured shirts than both teams.  Pinnies will be available for a colour clash.

Tie Breaking: ties in pool games stay.  Play off games require a winner , 5 minute sudden death(teams will attack in the same direction), then penalty strokes. Consolation games will go straight to strokes.  We will review this when we need to and it will be posted.

Balls, scorecards and captains’ bands: at the technical table.  Please collect and return them there.

Fair Play Trophy: at the end of each game, umpires give a score to the teams they umpire.  Like the game, both umpires award the same fair play points.  The back of the scorecard has a point system, as follows:

  1. relationship with own team [grumbling/blaming or encouraging/positive]
  2. relationship with opponents [undesirable behaviour or being normally competitive]
  3. response to umpires [appealing for calls, arguing or being normal!]

Please be careful not to go overboard with your score, unless really warranted.

This tournament is a good opportunity to blend experience with potential and it allows for the development of team umpiring and personal growth.

If staying at the Host Hotel, the Ramada Hotel and Conference Center, or at any of the other hotels, motels, etc. on Highway #97 travel south towards the lake and Penticton.  Cross through the lights at Spall Road, Burtch Road and then turn left on Gordon Drive, just after the Capri Hotel.  Travel along Gordon Drive and pass through the lights on Springfield and Guisachan.  Turn right at Raymer and take the second left and you will see the school.  Park in either of the lots and enter the school near the middle of the building.
